Job Title: Corporate Services Assistant (Contract – 1year)

The Town of Riverview is currently recruiting a One (1) year- Contract for a Corporate Services Assistant. This position provides administrative and general office support to the Human Resources, Communications and Corporate Services Departments, including clerical and technical assistance to the Director of Human Resources and Corporate Services.
The Corporate Services Assistant works on several HR initiatives including, but not limited to, assisting with recruitment, supports the Joint Health and Safety Committee, and assists with employee recognition, engagement programs and initiatives. Additionally, working with the Director in administering and distributing employee policies and programs. The Corporate Services assistant will also assist with the implementation of several employee training and development initiatives. In addition to human resource tasks, they will also support the communications team and corporate services team with community engagement as required.
The Corporate Services Assistant Reports to: Director of Human Resources & Corporate Services.
Part I - Duties / Responsibilities
- Aids with clerical and technical support for HR, Communications and Corporate Services activities.
- Maintains accurate, up to date and complete personnel and training records.
- Create forms, letters, reports and memos, as necessary.
- Assists the Director with special projects.
- Participate in internal committees, as necessary.
- Operates as the JHSC secretary, taking minutes of Meeting and creating the monthly agenda.
- Attend staff meetings, training sessions, and/or seminars as required.
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively in support of Human Resources & Corporate Services staff, the Town of Riverview, and the community at large.
- Builds and maintains positive working relationships with co-workers, other Town employees, and the public using principles of good customer service.
- Assists in the review and evaluation of the effectiveness of HR initiatives for Town employees.
- Assists communications team with content creation, including social media and responding to resident inquiries where appropriate.
- Assists the Corporate Services team with monitoring and directing inquiries from residents
- Performs other duties as assigned or required by the Director of Human Resources and Corporate Services.
Part II - Job Requirements
- Bachelor’s degree in Sociology, Psychology, Business Administration, or equivalent related bachelor’s degree.
- Minimum of two (2) years’ relevant work experience in administrative work would be an asset in the Human Resources department.
- Ability to interpret and implement Town policies and procedures.
- Excellent written and spoken English communication skills, strong presentation skills, and excellent negotiation skills.
- Strong knowledge in SharePoint and maintaining record keeping process.
- Demonstrated knowledge of Microsoft Office (Word, Excel, PowerPoint and Canva).
- Excellent time management skills.
- Criminal Record Check to meet Town standards.
Part III - Working Conditions:
Incumbents may be required to work non-traditional hours including days, evenings, weekends, and holidays. The work may be carried out in various locations and/or Town Facilities.
